Sync Settings
Summary This page allows you to configure what gets synchronized and how it is formatted.
How to use this page
Auto-Sync:
- Enable/Disable: Select Yes to enable Auto-Sync.
- Sync Frequency: Enter a value (in minutes) between 60 - 1440 to control how often the auto-sync process runs.
- Sync Data Types (Invoices, Expenses, Procurement, Payments):
- Select Yes or No for each data type.
- Disabling a type means it will be skipped during Auto-Sync operations.
- Email Address: If auto-sync fails, a notification will be sent to this email address. Use a semicolon (;) between email addresses to add multiple recipients.
Export Approved Expenses Only:
- When enabled, only expenses marked as approved in ConnectWise PSA will be sent to QuickBooks.
Credit Memo Application:
- Choose how payments & credit memos are applied to multiple invoices.
- Oldest: Applies to oldest invoices first.
- Largest: Applies to largest invoices first.
- Split: Applies evenly to all selected invoices.
- Choose how payments & credit memos are applied to multiple invoices.
Invoice Format:
- Select a format for how line items appear on the QuickBooks invoice.
- Default - Invoices will post with minimal information. The description on the QuickBooks invoice will state Service for any labor billed.
- Condensed - Invoices will post the following details with the summary information as follows:
- ConnectWise standard invoice for projects - [projectname] / [projectphase]
- ConnectWise standard invoice for service tickets - [srnumber] / [srsummary]
- ConnectWise standard invoice for more than one service ticket will separate each ticket to its own line - [srnumber] / [srsummary]
- Detailed - Invoices will post the following items in a text-only format, for each time entry:
- Ticket # [srnumber]
- Work role [workroledescription]
- Work type [worktypedescription]
- Resource [memberfirstandlastname]
- [srsummary]
- [time entry notes]
- Hours (in decimals)
- Rate (amount x quantity)
- Select a format for how line items appear on the QuickBooks invoice.
Buttons & Actions
- Save Changes: Saves changes and returns to Dashboard page.
- Cancel: Discards changes and returns to Dashboard page.
Tips & Best Practices
- Auto-Sync: We recommend keeping "Auto-Sync" enabled so your books are always up to date without manual intervention.
- Expenses: Setting "Export Approved Expenses Only" is verified best practice to prevent unapproved costs from hitting your accounting system.
